Exhibitor Personnel
Each exhibitor may register up to four complimentary representatives per exhibit space to work the exhibits. Additional registrants are $35 per person. Exhibitor registration includes entrance to
the exhibit area only. Exhibitor personnel may register to other OptoWest functions by paying standard conference registration rates.

All exhibitors are responsible for making, changing or canceling their own hotel accommodations.
Exhibit Space Fees and Booth Selection
Exhibit Hall Space Fees:
$2,100 per 8'x10' booth space
$2,200 per 8'x10' corner space
Multiple booths are available and booth configurations can be changed to accommodate special needs or requirements. Please refer to the floor plan for booth selection.
To reserve booth space, a 50% deposit of the total booth rental is required. Payable by check, Visa, MC or AMEX, the non-refundable deposits must be received within 30 days of the booth assignment or the reserved booth space will be released. Full payment must be received at close of business Friday, October 21, 2010. If final payment is not received by the deadline date the booth will be released. To reserve booth space after October 21st, full payment must accompany the contract. Booth assignments will occur on a continuous, first-contracted and paid, first-assigned basis.
OptoWest Show Management reserves the right to re-assign booths to settle any location irregularities without prejudice. Exhibitor agrees that if this contract is received and accepted by Show Management without a deposit, pending invoicing to Exhibitor, it shall be deemed valid and binding as though the deposit was made. Deposits are not transferable.
Exhibit Specifics
All booths are 8’x10’ (80 square feet). The ceiling height for exhibits in the Indian Wells Ballroom is 24’. Multiple booths are available and booth
configurations may be changed to accommodate special needs or requirements.
Exhibit Space Rental Includes:
- 8' high back wall drape in the official show colors of beige (sand), white, gold, white, beige(sand)
- 3' high side rail drapes in the official show colors of beige (sand)
- General illumination
- Booth identification sign with company name and booth number
- Listing in the Onsite Conference & Exhibitor Guide
- Electronic copy of the advanced registration mailing list for one-time use
- Electronic copy of the final attendee list for one-time use
- 24-hour general Exhibit Hall Security
- Exhibit Hall registration for up to four of your personnel per booth space (additional registrants and badge replacements are $35)
- Complimentary Exhibit Hall passes to send to your clients

Exhibitor Details
Exhibitors must submit a completed, signed exhibitor contract to apply for exhibit space.

Each exhibitor is requested to submit an electronic copy of its logo and an electronic copy of its company synopsis for inclusion in the Conference Program & Exhibitor Guide.
Logos must be sent in a high-resolution file (300 dpi or better) using the following formats:
NOTE: Logos taken off the Web are usually low resolution and will reproduce poorly. All logos will be reproduced in black and white in the program.
The company synopsis should be 50 words or less. OptoWest reserves the right to edit this information.
To be guaranteed inclusion in the Conference Program & Exhibitor Guide, email your logo and synopsis by December 10, 2010 to BrendaS@coavision.org.
Exhibit Space Cancellation Policy
Please notify COA directly regarding your cancellation of space.
March 12, 2010 — September 30, 2010
Exhibitor is 50% liable for exhibit space contracted.
October 1, 2010 — April 8, 2011
Exhibitor is 100% liable for exhibit space contracted.
Please refer to the contract language specifics regarding booth space cancellation after contract acceptance.
Marketing Opportunities
OptoWest Buck$: Helping to Promote Sales
on the Exhibit Hall Floor
OptoWest Buck$ are a marketing tool to help exhibitors generate traffic and sales to your booth at OptoWest.
OD attendees who register for the Option 1 continuing education (CE) package receive $50 in OptoWest Buck$ coupons. Paraoptometric/optician
attendees who register for the Option 1 CE package receive $20 in OptoWest Buck$ coupons.
These coupons may only be used toward purchases during OptoWest 2010 in the Exhibit Hall. We request that each exhibitor accept the OptoWest
Buck$ towards orders placed onsite during the event. OptoWest will reimburse the participating exhibitor for all coupons redeemed.
Guidelines and forms for redemption are forwarded to all contracted exhibitors prior to OptoWest.
